Overview
Internal Mechanic users are designed for in-house mechanics who require broader access to fleet maintenance information. They have visibility across all vehicles, including maintenance history and work order information.
While Internal Mechanics have extended access compared to External Mechanics, they cannot delete data or close out a Work Order.
Dashboard Access
Internal Mechanics can view the following dashboards:
- Vehicles Dashboard
- Services Dashboard
- Repairs Dashboard
- Tyres Dashboard
- Inspections Dashboard
Assigned services for Internal Mechanics will be displayed on the Maintenance Dashboard.
Viewing a Service Assigned to You
- From the Main Dashboard (1), click on My Work Orders (2).
- Services assigned to you will be displayed in the table (3).
- Click on a service record to open it.
- Within the service record:
- The asset will already be selected.
- The service type will already be specified.
Starting an eJobcard
- Within a service record, you can:
- Select Show eJobcard (4) to display a checklist that can be completed using a mobile device, PC, or tablet.
- Select Jobcard (5) to print a jobcard listing the required tasks for that service type.
- Once an eJobcard is in progress:
- Mark checklist items as N/A, Incomplete, or Done (6). Click on the More button to add additional comments or select the camera button to attach an image.
- Record Tyre Pressures, Tread Depths, Brake Linings, and Brake Test Results by expanding the relevant sections (7).
- Sign off on the work completed (8).
Finishing a Service
- Within the service record:
- Add any additional service notes in the text box (9).
- Create related records — Repair, Tyre, Inspection, or Reminder — using the action buttons (10). These will link back to the original service.
- If axle configuration is set up on the asset, mark off work performed on the Wheel & Tyre Tyregram (11).
- Upload documents (photos, PDFs, paper invoices, etc.) using the Add Document button (12), if the Documents module is enabled.
- Mechanics can also:
- Add Parts (13) to the job if part tracking is enabled.
- Record Labour Hours (14).
- Enter an Invoice Number, GL Code, and Date of Invoice if applicable.
- Finally:
- Enter the Service Completion Date, KM/Hour Reading, or Fuel Usage reading at the time of completion.
- Important: Mechanics do not have the ability to mark a service as fully completed (16).
- After entering the completion details, click Save and Close. This will notify a Gearbox Manager (or higher) to review and sign off on the work.
