Overview
Gearbox offers a selection of dashboards, each providing valuable insights to enhance your visibility and workflow. Below, we explore each dashboard and its benefits.
Admin Snapshot
The Admin Snapshot is a key Maintenance Dashboard in Gearbox, designed to provide an overview of your fleet. By default, this is the first dashboard displayed upon login, offering a summary of vehicles and assets. Below is a breakdown of each widget in the Admin Snapshot.
Groups & SubGroups
Gearbox enables filtering based on Vehicle Groups and Sub-Groups. If you are not seeing all assets, please review your selections.
Vehicles Widget
The Vehicles Widget provides a fleet breakdown using the Traffic Light Status. Clicking any number or section redirects you to a detailed list of vehicles in that category, streamlining fleet management.
Reminders Widget
This widget displays vehicle reminders based on three intervals: kilometres, hours, and days.

Yellow (Soon): Reminders approaching their due date.

Red (Now): Reminders that are due or overdue.
Expiry Dates Widget
Tracks vehicle expiry dates, including warranty, lease end, and disposal dates.

Services Widget
Displays open service work orders and categorises assets by kilometres, hours, and days.

Repairs Widget
Provides an overview of repair work orders, including:

Counters change colour based on status and work order duration.
Tyres Widget
Tracks tyre work orders, similar to the Repairs Widget, displaying:

Monitored, Important, Urgent, and Deferred tyre work orders.

Work orders created in the last 7-14 days.

Additional Dashboards
My Work Orders
Designed for Mechanic Users, this dashboard provides an overview of assigned service, repair, tyre, and inspection work orders.
Accessing My Work Orders:

From the Admin Dashboard, click My Work Orders.

The dashboard displays assigned work orders, sorted by scheduled date.

Clicking a work order opens its details, facilitating workflow efficiency.
All Open Work Orders
Provides a comprehensive view of all open work orders, including:

Open Services, Repairs, Tyres, and Inspections.
Accessing All Open Work Orders:

From the Admin Dashboard, select All Open Work Orders.

Expand each section to view open work orders in each category.
Work Order Status
Helps workshop managers track work order progress across four stages:

New – Unassigned, unscheduled jobs with no completed job card items.
-
Scheduled – Jobs with a mechanic assigned or a scheduled date.
-
In Progress – At least one job card item is completed.
-
Ready to Approve – Job card items completed, awaiting manager approval.
Handling Multiple Job Items
Work orders may contain multiple job items. Each repair or tyre work order is displayed individually, even if they share the same reference number (e.g., R-1234).

A work order moves to In Progress when one item is completed.
-
Once signed off by a mechanic, it moves to Ready to Approve, while other items remain In Progress.
Schedule
Though not a dashboard, the Schedule feature redirects to the Service Schedule page, where users can:

View a calendar-based schedule for services, repairs, tyre tasks, reminders, and inspections.

Drag and drop work orders to reschedule tasks.
Starred Notes
Allows users to star or pin important notes to work orders.
Accessing Starred Notes:

Click on Starred Work Orders.

View all work orders containing starred notes.
