Vehicle Traffic Light

Overview

Gearbox includes a Traffic Light system that provides a single overall status indicator for each vehicle. This traffic light is determined by a combination of date-based, kilometre-based, and hour-based alerts, and displays one of four colours:

  • Red: If any contributing alerts are Red, the vehicle's traffic light will display Red.
  • Orange: If there are no Red alerts, but one or more alerts are Orange, the traffic light will display Orange.
  • Green: If there are no Red or Orange alerts, the traffic light will display Green.
  • Grey: If a vehicle is newly added to the system or marked as sold, the traffic light will display Grey.

The Maintenance Dashboard displays the total count of vehicles for each traffic light status. Note: Sold vehicles are archived in Gearbox, so Grey statuses are not shown on the dashboard.

Clicking on the Red, Orange or Green sections of the dashboard will display a list of all vehicles with that status. Hovering over a traffic light icon provides a summary of the alerts contributing to that vehicle’s current status.

Alerts Affecting the Traffic Light

Vehicle Allocation Status

  • Out of Service (Planned/Unplanned) – Sets the traffic light to Red.
  • Parked/Pending – Sets the traffic light to Orange.
  • In Service – Sets the traffic light to Green.
  • Sold – Sets the traffic light to Grey.

Registration / COF / WOF Expiry

The registration status is based on the vehicle’s registration due date, allocation status, and (in New Zealand) WOF/COF expiry dates.

  • If there is no due date, the date has expired, or it's about to expire, the traffic light will display Red.
  • For non-registered vehicles, tick the “Unregistered” box to prevent registration fields from triggering a Red status.
  • If the due date is approaching, the traffic light will display Orange.

By default, Gearbox provides a 30-day warning for Red and a 14-day warning for Orange. These intervals can be adjusted in Settings.

Vehicle Reminders

If any reminders (based on kilometres, hours, or days) are overdue, the traffic light will be Red.
If no reminders are overdue but one or more are due soon, the traffic light will be Orange.

Warning periods can be customised in your Vehicle Reminder Settings.

Service Due

Gearbox uses your Service Group settings to determine whether the traffic light should display Red or Orange. This is based on service intervals by kilometres, hours, or days.

Fault Reports

Any vehicle with an open Fault Report will automatically have its traffic light set to Red.
This is because drivers or operators may not have the technical expertise to assess a fault's severity.

Open Repairs & Tyres

  • Urgent tyre or repair work orders will trigger a Red status.
  • Important work orders will trigger an Orange status.
  • Monitored or Deferred work orders will not change the traffic light, and the vehicle will remain Green.

Mass Verifications

If you're NHVAS Mass accredited and using Mass Verifications in Gearbox:

  • Overdue verifications will result in a Red status.
  • Verifications due soon will result in an Orange status.

Inspections

  • Overdue inspections will set the traffic light to Red.
  • Inspections due soon will set the traffic light to Orange.

Inspection warning intervals can be adjusted under System Parameters.

Permits

  • Overdue permits will result in a Red status.
  • Permits due soon will result in an Orange status.

Permit warning intervals can also be configured in System Parameters.
