Overview
The Linked Assets feature allows you to manage parent and child asset configurations within Gearbox. Linked Assets can be viewed under the Information tab of any asset. The trailer input previously found on the Settings tab is deprecated.
You can link up to 8 assets in total: one parent asset and up to seven child or trailing assets.
Linking an Asset
To link assets together:
Go to the Information tab of the parent asset.
Click the + (Add Asset) button next to the parent asset card.
Select an available asset from the dropdown list to attach it.
Only assets not already linked to another configuration and not marked as sold will appear in the dropdown.
Updating a Linked Asset
To update a linked asset, select the asset from the dropdown selector. When viewing a vehicle page, the asset card for that vehicle will be locked and cannot be updated.
Unlinking an Asset
To remove a linked asset, click the X button on the asset card. This removes the relationship entirely.
Ordering within a Configuration
You can change the order of linked assets by dragging and dropping the cards into the desired sequence.
Asset Summary on Mouseover
When viewing linked assets, you can hover over the status circle (Green, Orange, or Red) to see a quick summary of the vehicle.
The summary displays:
- Fleet number and description
- Group, Subgroup, and Service Group
- Asset details such as make, model, and year
- Quick links (shown with an arrow →) to key areas such as directly to the vehicle record, the service group area, or the registration area.
- Status indicators for items such as Registration, Services, Faults, Repairs, Tyres, Inspections, Reminders, Permits, and Mass Verification.
- These indicators display as Green, Orange, or Red to show current compliance or outstanding items.
- If there is no data available, they will appear as Grey.
This provides a fast way to confirm important information about an asset without needing to open the full record.
Permissions
Only users with Add & Edit permissions for vehicles can manage linked assets. Users with view-only permissions will see the configuration in a locked state.
Existing Linked Assets
All existing linked assets are managed through this feature. The default ordering is set by fleet number in ascending order.
