Sites, Multisite Inventory and Transfers

Overview

Gearbox enables the management of multiple sites for stock control, which can also be referred to as Stores or Warehouses. It facilitates the tracking and adjustment of stock levels across different sites, including transfers between them. This article outlines the following steps: 
  1. Adding Sites
  2. Adding a new Part
  3. Adding parts to stock via a Purchase Order
  4. Transferring stock between Sites

This Feature is only enabled on request – please contact Support@gearbox.com.au to enable.


 

1. Add Sites (Warehouses):

This example uses 3 sites: Sydney, Melbourne and Brisbane. Click Add New to add a new site

 

2. Add a part

A new Part is added with Stocktake Item checked:

 

 

3. Purchase Order

Next a Purchase Order is created to order and receipt the parts for the site Sydney:
 
 

 

4. “On Order” status

The part now shows a count of 100 “On Order” (awaiting delivery) for the Sydney site.

 

 

5. Parts Received on Purchase Order

The Purchase Order is updated to acknolwedge that the parts have been received:

 

6. Parts in Stock

There is now a count of 100 parts in stock at the Sydney site:

 

 

7. Site (Warehouse) Transfer

A stock adjustment transfer is created to move some parts from Sydney to Melbourne:

 

 

 Multiple items can be transferred (Just one in this example)



The process creates 2 records: -40 for Sydney, + 40 for Melbourne

 

8. Parts Stock Updated at both sites (warehouses)

The Part now shows 40 items in Melbourne and 60 Items in Sydney

 

 

 

9. Parts Register View

When no site is selected, there is still a total of 100 items in stock:

 

 

 

If the filter is set to Sydney, the stock count of 60 for Sydney is displayed
