Configuring Drivers and Operators for Prestart

Overview

This guide provides the steps to configure drivers and operators for Prestart in Gearbox. It ensures that employees are properly set up to use Prestart, including configuring their mobile number, enabling Prestart integration, setting up optional features like fuel entry and fault reporting, and securing access with a 6-digit PIN.

The Prestart Module must be active on your Gearbox Subscription.

Mobile Number Configuration

  • Navigate to the Employee Profile: In Gearbox, browse to the Employees Section and go to the employee's profile.

  • Ensure the Mobile Number is Correct: Verify that the correct mobile number is entered in the Mobile Number field. This number will be used for Prestart notifications and authentication.

Prestart Integration Settings

  • Go to the Integrations Section: Under the Integrations section of the employee profile, check the box for Prestart Mobile User to enable access.

  • Optional Settings: Configure the following settings based on your needs:

    • Flag Fault Reports as Fixed: Allows drivers and operators to mark fault reports as resolved within Prestart.
    • Allow Mass/Load Sheets: Enables drivers to record axle group weights in Prestart if mass limits are assigned to assets.
    • Allow Fuel Entry: Permits drivers and operators to log fuel-related data (e.g., supplier, type, quantity, cost) in Prestart.
    • Allow Events Entry: Allows drivers to report incidents and events (e.g., accidents, near-misses) in Prestart.
    • Allow Fit For Duty: Enables users and operators to complete fit-for-duty checks in Prestart.
    • Fit For Duty Checklist: Choose a specific checklist to be used for the fit-for-duty assessments.

PIN Setup

  • Set a 6-Digit PIN: Create a secure 6-digit PIN for the employee.
  • Confirm the PIN: Re-enter the PIN to confirm accuracy.

Save Changes

  • Save and Close: Click Save and Close to apply all the changes.

 

 

Additional Notes:

  • The 6-digit PIN will be used by the employee to log into the Prestart mobile app.
  • The mobile number entered must be valid and accessible by the employee to receive Prestart notifications and for authentication purposes. If a warning appears saying "Mobile has already been taken," this means that the employee has potentially been entered into a previous employer's system, or the employee has been terminated previously and the mobile number is still attached to an archived record.

    There are two ways to get this resolved:

  1. Get the employee to contact their previous employer and request they remove them from their Gearbox system by making them inactive/terminated.
  2. When entering this employee, add a '1' at the start of the number (e.g., 1234567891). Gearbox will then recognise this as a new number and allow you to add this employee.
