Overview
Employee Reminder Types can be used to track all expiry dates for employees that fall outside of Medicals or Training such as annual reviews or spot checks. When a reminder is close to its due date Gearbox will update the Employee Traffic light and Employee Dashboard to notify you of the change in reminder status. The warning interval (number of days) prior to a warning turning yellow and red is a setting in Gearbox that affects vehicle reminders, contractor reminders AND employee reminders may be adjusted to suit your business.
If “Settings” is not visible in your menu, contact your system administrator to request access.
Adding or Updating Employee Reminder Types
1. To add or edit Employee Reminder Types, click on your User Icon (1), click on Settings (2)
2. On the left-hand side of the screen scroll down to Employee Reminders (3)
3. From this screen you can Add Type (4) a Employee Reminder, modify an existing reminder (5) or delete (6)
4. Once you have clicked Add Type you will be taken to a new screen where you can enter the Employee Reminder (7). Once you have entered your Employee Reminder, click Save (8)
Adding an Employee Reminder
1. Click on Employees (1) then click on Employee (2)
2. Click on the employee you wish to set a reminder for (3)
3. Click on Reminder (4) to add a new reminder. This screen will also show you a history of reminders that were previously set for the employee you can also edit these (5)
4. Fill in the reminder Type (6) and Expiry Date (7) then click Save (8)
Changing Vehicle/Employee Reminder Interval Alerts
1. Click on the User Icon (1) then click on Settings (2)
2. Click on System Parameters (3) and Search Reminders (4)
3. Change the Value (5), number of days (6) of REMINDERS_YEL_DAYS and REMINDERS_RED_DAYS (7) you are able to customise when to receive notifications for reminders. Keep in mind this will also relate to Vehicle reminder, Contractor Reminders and Employee Reminders.
