Overview
Gearbox allows Mechanic Labour hours to be recorded on Service, Repair, Tyre and Inspection workorders. The hourly rates are set individually for each Gearbox user. The hourly rate is for the workshop charge out rate, not payroll rates. Labour Hours can be enabled to appear on workorder reports and are collated across all workorders and users in the Labour Hours Report.
You will need Administrator permissions in order to configure labour rates for Gearbox users
Adding an hourly labour rate to a user
1. Click on the User Icon (1) then click Users (2)
2. Click on Active Users (3)
3. This screen shows you all of your active users from here you can click on the Users (4) you wish to edit
4. Under the Labour Rate tab (5) enter the user's Hourly Charge Out Rate (6) and click Update User (7) to save changes
Adding labour rates to work orders
The steps outlined below are applicable to all work orders (ie. Services, Repairs, Tyres, and Inspections).
Entering labour rates on Tyre work orders need to be entered on the Tyre Item level
- Click into the service and scroll down to Labour fill in the below fields;
- Mechanic/Technician (1) Select the user you wish to enter labour rates for. This will automatically display the name of Mechanic users and cannot be changed to a different type of user
- Finish Time (2) Gearbox users with Standard/Manager/Administrator permission can set a finished time. This field is locked for Mechanic users.
- Select or enter hours worked (3) Select the predefined hours or enter a value in the Hours box
- +Add (4) click to add selected labour hours
Gearbox will automatically calculate labour costs under the header Labour totals and add the amount to the work order's Cost (tax inclusive) and Tax fields.
Labour entries can be edited and deleted by Gearbox users with Standard, Manager, or Admin permissions, but only edited by Mechanic users. Mechanic users can only edit their own labour entries, they cannot edit labour entries for other users.
Labour Hours Report
Gearbox features a labour hours report in the Vehicle Reports section. The report can be filtered by date period. Labour hours from Services, Repairs, Tyres and Inspections are included in the Report:

Some customers may prefer not to have labour costs appear on workorder reports. This can be hidden if required.
In order to change the view of labour hours you would need to change the status of Service_Labour_Times and Repair _Item_Labour_Times.
To change this follow the below steps;
1. Click on the User Icon (1) then click on Settings (2)
2. Click on System Parameters
3. Search Service Labour Times (3) in order to change the view click True (4) to have it visible on your screen or False (4) to have it hidden
Complete the same steps with Repair Item Labour Times
If the settings are enabled, labour costs will be displayed on workorder reports above the parts list:
