User Permission Levels

Overview

Gearbox provides different user access levels to limit who can view, edit, and delete specific data. You can select a user template or create custom permissions for each section in Gearbox.

Gearbox users can be assigned the following permission levels in each module:

  • Admin
  • Manager
  • Standard
  • Internal Mechanic
  • External Mechanic
  • Read Only
  • Denied

The modules are:

  • Maintenance
  • Employees
  • Compliance
  • Documents
  • Parts
  • Repairers
  • Settings
  • Users

Adding and Editing User Permissions

  1. Click on the User Icon, then click Users.
  2. Click on Active Users.
  3. Select the User you wish to edit.
  4. Below the User Information, adjust User Permissions to assign the appropriate access level for each module.

User Access Levels

  • Admin: No restrictions, can read, edit, and delete all areas.
  • Manager: Can read and edit, view vehicle financials tabs, and reopen work orders, but cannot delete records.
  • Standard: Can read and edit but cannot delete records, view vehicles, or reopen work orders (Service, Repairs, Tyres, Inspections).
  • Internal Mechanic: Limited access to Vehicle, Services, Repairs, Tyres, and Inspection modules. Can action work orders but not close them out.
  • External Mechanic: Limited to viewing and completing assigned work orders. Learn more about External & Internal Mechanic User Permissions.
  • Read Only: Read access and can run reports, but cannot make changes.
  • Denied: Unable to log in to Gearbox.

Business Settings Permissions

Some business settings are managed by numeric values corresponding to user permissions:

  • 0: All users (including Read Only) can make changes to the related setting.
  • 4: Mechanic and above users can make changes to the related setting.
  • 32: Standard and above users can make changes to the related setting.
  • 128: Manager and above users can make changes to the related setting.
  • 256: Administrator users can make changes to the related setting.
  • 512: No users can make changes to the related setting.
