Geotab Integration

Overview

 

Gearbox integrates with Geotab via API every night to retrieve odometer and hourmeter readings. These readings are used for calculating Services Due and tracking running costs per hour/kilometre. Automatic readings from telematics reduce the risk of manual entry errors and ensure readings are captured consistently.

 

You must have an active Geotab account and Gearbox administrative privileges to complete the steps below.

 

Please Note: Gearbox uses the vehicle VIN or Fleet Number to match assets in Geotab using the Geotab ID or VIN fields. Please ensure these details match in both Gearbox and Geotab.

 

Geotab User Setup

Create a Geotab User

1. Log in to MyGeotab, expand People, select Users & Drivers, then click the + button in the top-right corner.

Complete the User Details

2. Complete the following fields:

Field	Value
Username (Email)*	Enter the email address that Gearbox will use to connect to Geotab.
First Name*	Enter a name for the integration user, for example Gearbox.
Last Name	Optional.
Data Access	Select Everything.

Data Access must be set to Everything. Restricting data access may prevent Gearbox from retrieving odometer and hour meter readings.

Configure Authentication and Security

3. Scroll down to the Authentication and Security section and configure the following:

Field	Value
Password	Create a strong password for the integration user.
Confirm Password	Re-enter the password.
Authentication Type	Select Service Account.
Security Clearance	Select View only.

Selecting Service Account creates an account specifically for API integrations and does not require access to the Geotab user interface.

Save the User

4. Once all required fields have been completed, click Save in the top-right corner.

Depending on your Geotab version, additional mandatory fields may be displayed. Complete any required fields before saving the user.

Configure the Gearbox Integration

Open Gearbox Integrations

1. Go to (1) User Profile, then, (2) Integrations
2. Scroll to see GEOTAB, and click on (3) Setup

3. Click on (4) Integrate Geotab
4. Fill out (5) Username and (6) Password
5. Click (7) Connect Vehicles and (8) Get Readings

Connect Your Vehicles

Noes about "Connecting Vehicles"

When clicked, this links each Gearbox asset to its corresponding Geotab asset by storing the unique Geotab ID against the asset.

Gearbox matches assets using the VIN or Fleet Number in Gearbox against the VIN or Geotab ID in Geotab. If these values do not match, the assets will not be linked.

Import Initial Readings

Once the vehicles have been connected, click Get Readings to retrieve the latest odometer and hour meter readings from Geotab.

After the initial import, Gearbox will automatically retrieve updated readings during the overnight synchronisation.
